Initial Configuration
This page is a first-time setup checklist that takes you from a freshly installed app to your first posted expense journal. Each step links to a page with full detail.
Setup Checklist
Work through these steps in order. The order matters: mapping depends on connection, and journal generation depends on mapping.
1. Register the App (production only)
In a production environment, register your license before anything else. See Registration. In a sandbox you can skip this and work in trial mode.
2. Open the Certify Setup Card
Search for Certify Setup and open it. The card is created automatically the first time you open it. It has two groups: Certify Connection Setup and G/L Integration Setup.
3. Enter the Connection Details
In the Certify Connection Setup group:
- Confirm the Base URL (default
https://api.certify.com/v1/). - Enter your API Key and API Secret from Certify.
- Optionally set a CutOffDate so older reports are ignored.
See API Connection Setup.
4. Configure G/L Integration
In the G/L Integration Setup group:
- Choose the Certify Employee Type (Employee or Vendor). See Employee or Vendor Posting.
- Select the Expense Document Type for the generated lines.
- Select the General Journal Template and General Journal Batch. See Journal Template and Batch.
- Set the Department Dimension that the Certify department maps to.
- Set the Expense and Reimburse Balance Account type and number. See Balance Accounts.
- Decide whether to use Converted Amounts and set a Default Tax Area Code. See Currency and Tax Handling.
- Set a Fallback G/L Account for unmapped categories.
- Decide whether to Aggregate employee payment.
5. Map Expense Categories
From the Setup card, choose Expense Categories. This pulls categories from Certify; map each to a G/L account. See Expense Category to G/L Mapping.
6. Set Up Dimension Mapping
Choose Dimension Mapping. Use Harvest Dimensions from Expense Reports to auto-discover and map the Certify GLDs and departments. See Dimension Mapping.
7. Map Corporate Cards (if used)
Choose Credit Cards and map each company card to its balancing account. See Credit Card Mapping.
8. Load and Post a Test Report
Open Certify Expense Reports, choose Get Expense Reports, select a report, and choose Generate Journal. Review the resulting general journal lines before posting. See Generating the Journal.
Tips and Best Practices
- Configure connection and mapping fully before generating your first journal.
- Map every active category, or rely on the fallback account and review it regularly.
- Test in a sandbox first, where trial mode is unrestricted.
