Journal Template and Batch

This page describes how to point the app at the general journal it should write to, and the document type and numbering it uses. These fields are in the G/L Integration Setup group on the Certify Setup card.

Fields

Field Description
Expense Document Type The document type assigned to generated journal lines (a Gen. Journal Document Type, e.g. blank or Invoice).
General Journal Template The general journal template the lines are created in.
General Journal Batch The batch within that template. Its number series provides the document number.

Choosing a Template and Batch

  1. In Business Central, create or identify a general journal template and batch dedicated to Certify postings. A dedicated batch keeps expense activity separate and easy to review.
  2. On the Certify Setup card, set General Journal Template to that template.
  3. Set General Journal Batch to the batch. The batch list is filtered to the selected template.

Tip: Using a dedicated batch (rather than the default general batch) makes it easier to review, post, and reconcile Certify entries without mixing them with other journal activity.

Number Series and Document Number

When you generate a journal for a report, the app takes the next number from the batch's number series and uses it as the report's Document No.. Every journal line generated for that report shares this document number.

Because of this, the batch must have a No. Series assigned. If it does not, generation stops with an error:

Journal Batch [batch] is missing a No. Series, cannot continue!

To fix it, open the journal batch and assign a number series.

Document Type

The Expense Document Type is applied to the expense and reimbursement journal lines. Choose the document type that matches how your finance team wants these entries classified. For most general-journal expense postings this is left at the default, but it can be set to another Gen. Journal Document Type if your process requires it.

Note: When Aggregate employee payment is used, the single aggregate reimbursement line is created without forcing the document type, so it behaves as a standard balancing payment line.
