G/L Integration Overview

This page explains how an approved Certify expense report becomes general journal entries in Business Central.

The Posting Model

Certify for Business Central uses the general journal posting model. When you generate a journal for a report, the app creates lines in the general journal batch you configured. You then review and post that journal using standard Business Central posting.

Each expense report receives a single Document No. drawn from the journal batch's number series, so all lines from one report share a document number.

What Happens for Each Expense Line

For every expense line on the report, the app creates an expense journal line:

  1. Account: the G/L account mapped from the line's Certify category. If the category has no mapped account, the Fallback G/L Account is used.
  2. Amount: the line amount, converted to local currency if the line is in a foreign currency (or taken from Certify's converted amount if you enabled that option).
  3. Description: the expense reason, or the merchant/vendor name if there is no reason.
  4. External Document No.: the Certify expense report name.
  5. Posting Date: the line's posting date, or its expense date if no posting date is present.
  6. Balancing account:
    • If the line was paid on a mapped corporate card, the balancing account comes from that card's mapping (company-paid). See Credit Card Mapping.
    • Otherwise, the balancing account comes from the Expense Balance Account in setup.
  7. Tax: if the line carries VAT, PST, or HST, the line is marked tax liable and the Default Tax Area Code is applied.
  8. Dimensions: the line's Certify GLDs and department are translated into Business Central dimensions. See Dimension Mapping.

Reimbursable Amounts

If a line has a reimbursable amount, the app also creates a reimbursement line that credits the employee or vendor (depending on the Employee or Vendor Posting setting), balanced against the Reimburse Balance Account.

If Aggregate employee payment is enabled, the app instead sums all reimbursable amounts on the report and creates one combined reimbursement line at the end. See Reimbursements and Company-Paid.

Reimbursable vs. Company-Paid

The app deliberately separates the two cases, following accounting best practice:

Expense type Expense line balancing Reimbursement line
Company-paid (corporate card) Card's clearing/bank account None — not reimbursed to the employee
Reimbursable (paid by employee) Expense balance account in setup Credits employee/vendor, balanced by reimburse balance account

This prevents the common mistake of reimbursing an employee for charges that were actually paid on a company card.

After Generation

When generation completes, the report's Report Status is set to Settled and its Document No. is recorded. You can drill from the report to the generated general journal lines. The journal itself still needs to be reviewed and posted in Business Central.
