Employee or Vendor Posting

This page explains how the app decides who gets reimbursed and how that account is determined. The key field is Certify Employee Type in the G/L Integration Setup group on the Certify Setup card.

The Choice

Reimbursable expenses must be credited to the person owed the money. Business Central can represent that payee as either an Employee or a Vendor. The Certify Employee Type setting controls which account type the app uses on reimbursement lines:

Setting Reimbursement line account type
Employee Employee
Vendor Vendor

How the Account Number Is Determined

On each reimbursement line, the app sets the Account No. to the expense's EmployeeID as it comes from Certify. This means:

  • The Certify EmployeeID must match the corresponding Employee No. (if using Employee type) or Vendor No. (if using Vendor type) in Business Central.
  • Align your Certify employee identifiers with your Business Central employee or vendor numbers so reimbursements land on the right ledger account.

Choosing Between Employee and Vendor

Use Employee when:

  • You maintain employees in Business Central and want reimbursements tracked on the employee ledger.
  • Reimbursements are paid through the employee payment process.

Use Vendor when:

  • Employees are represented as vendors in Business Central.
  • You want reimbursements in the vendor ledger and paid through standard accounts-payable payment processing.

Both approaches are valid; choose the one that matches how your finance team pays employees and tracks what is owed to them.

Important: Company-Paid Expenses Are Not Reimbursed

Only reimbursable amounts create employee/vendor lines. Company-paid corporate card charges balance to the card's clearing/bank account and never credit the employee or vendor. This prevents paying an employee for charges the company already paid. See Reimbursements and Company-Paid.
