Credit Card Mapping
Credit card mapping controls how company-paid corporate card expenses are balanced. This page explains how to set up cards and how they affect posting.
Why Cards Matter
Expenses fall into two groups:
- Reimbursable — paid personally by the employee; the company owes them back.
- Company-paid — paid directly by the company, typically on a corporate card.
Company-paid charges must not be reimbursed to the employee. Instead, they should balance to a card clearing account or the card's bank account. Credit card mapping is how the app knows where those charges go.
The Credit Cards List
Open Credit Cards from the Certify Setup card. Each row represents one corporate card:
| Field | Description |
|---|---|
| Card Name | The payment card name as it comes from Certify. |
| Last Digits | The last digits of the card (from Certify). |
| Description | A free-text description for your reference. |
| Company Credit Card | Marks the card as a company card. |
| Expense Balance Account Type | G/L Account or Bank — the type of balancing account for this card. |
| Expense Balance Account No. | The balancing account number (a G/L account or bank account, per the type). |
A card is identified by the combination of Card Name and Last Digits, which is how expense lines reference the card they were paid on.
How Cards Are Matched at Posting Time
When generating a journal, for each expense line the app checks whether the line's payment card name and last digits match a card in this list:
- Match found (company-paid): the expense line balances to the card's Expense Balance Account (the type and number on the card row). The setup-level expense balance account is not used for this line.
- No match: the line balances to the Expense Balance Account configured on the Setup card. See Balance Accounts.
In both cases, if the line carries VAT/PST/HST it is marked tax liable with the default tax area. See Currency and Tax Handling.
Setting Up a Card
- Make sure expense reports that used the card have been loaded, so the card name and last digits are known.
- Open the Credit Cards list and create (or confirm) a row for the card with the correct Card Name and Last Digits.
- Set Expense Balance Account Type to G/L Account or Bank.
- Set Expense Balance Account No. to the clearing, card-liability, or bank account for that card.
- Optionally mark Company Credit Card and add a description.
Choosing the Balancing Account
- Use a card clearing or card-liability G/L account so company-paid charges accumulate against what is owed to the card provider, then reconcile that account to the card statement.
- Use a Bank account when the card is treated as a bank account in Business Central.
Tips and Best Practices
- Map every corporate card before posting reports that use them, so company-paid charges don't fall back to the general expense balance account.
- Reconcile the card clearing account against the card statement regularly.
- Keep the card name and last digits exactly as Certify reports them, since matching is based on those values.
