Currency and Tax Handling

This page explains how the app handles foreign currency and tax when generating journal lines. These settings are in the G/L Integration Setup group on the Certify Setup card.

Currency

Certify expenses may be in any currency. The app supports two ways of getting to your local currency (LCY).

Option 1: Convert in Business Central (default)

When a line's currency differs from your LCY Code, the app converts the amount to local currency using Business Central's Currency Exchange Rate for the line's posting date. Both the expense amount and the reimbursable amount are converted this way. This makes Business Central the owner of the final posted amounts using your own exchange rates.

Option 2: Use Converted Amounts from Certify

Enable Used Converted Amounts from Certify to post the amounts Certify already converted, instead of converting in Business Central. When enabled and a line has a converted amount:

  • The line's currency is treated as your LCY Code.
  • The expense amount is taken from Certify's ConvertedAmount.
  • The reimbursable amount is taken from Certify's ConvertedReimAmount.

Use this when you want the posted figures to match exactly what Certify calculated. The expense lines page shows the Converted Amount and Converted Reim Amount columns when this option is on.

Which to Choose

  • Choose Business Central conversion if the ERP must own financial reporting currency and exchange rates.
  • Choose Certify converted amounts if finance wants postings to tie out exactly to Certify's converted figures.

Whichever you pick, reconcile a sample of postings against Certify after go-live so you know amounts match expectations.

Tax

Field Description
Default Tax Area Code The tax area applied to a line when that line carries tax.

How Tax Is Applied

The app inspects each expense line for tax amounts captured in Certify: VAT, PST, and HST. If any of these is non-zero, the journal line is:

  • Marked Tax Liable, and
  • Assigned the Default Tax Area Code from setup.

This lets Business Central handle the tax calculation/posting on those lines. If a line has no VAT/PST/HST amount, no tax area is applied.

This behavior applies whether the line balances to a corporate card account or to the setup expense balance account.

Recommendations

  • Set the Default Tax Area Code to the tax area that matches how expense tax should be posted in your jurisdiction.
  • For multi-jurisdiction needs beyond a single default, review tax results after generation and adjust before posting.
  • Remember that tax is only flagged when Certify actually captured a tax amount on the line.
