Printer Setup and Configuration

This page explains how to configure the SharePoint printer in Business Central.

Configuration Overview

Setting up Print to SharePoint involves:

  1. Configuring printer settings in SharePoint Setup
  2. Setting up the SharePoint printer
  3. Assigning the printer to users or reports

SharePoint Setup Configuration

Printer Settings

In SharePoint Setup, configure:

Field Description Default
Print to SharePoint Folder Destination folder for prints Print
SharePoint Printer Papersize Paper size (free text, passed as the paper kind) Letter

This folder receives all print-to-SharePoint output:

  • Relative to the Base Folder in setup
  • The default value is Print
  • User subfolders are created automatically (e.g., Print/JOHN/)
  • All users' printouts go into their own subfolder

SharePoint Printer Papersize

This field controls the paper size the SharePoint printer registers with:

  • Free-text field (Text[20]) -- there is no dropdown and no Custom option
  • The default value is Letter
  • The value is passed verbatim to the platform as the printer's paper kind, so it must match a paper kind the platform recognizes
  • Common values: Letter, Legal, A4, A3

Both fields must be filled in -- if either Print to SharePoint Folder or SharePoint Printer Papersize is blank, the SharePoint printer is not registered and does not appear in printer selection.

These two fields on SharePoint Setup are the complete printer configuration; there are no additional printer settings (orientation, custom dimensions, or per-printer folders).

Example Configuration

Field Value
Print to SharePoint Folder Print
SharePoint Printer Papersize Letter

Setting Up the Printer

Printer Name

The SharePoint printer appears as:

  • Printer Name: "SharePoint"
  • Visible in printer selection dialogs

Printer Selection

When printing reports:

  1. Choose print
  2. Select "SharePoint" as printer
  3. Report prints to SharePoint folder

User-Based Folder Routing

How Routing Works

Printed documents always go to a subfolder named after the printing user:

{Base Folder}/{Print to SharePoint Folder}/{UserId}/{Report Name} {Timestamp}.pdf

Example (with default "Print to SharePoint Folder" value Print and user JOHN): /BC Documents/Print/JOHN/Statement 2026-01-15T14.30.45.pdf. The timestamp is produced by format(CurrentDateTime, 0, 9) with : replaced by ., and the report name is separated from the timestamp by a space (not an underscore).

Folder Structure

Element Source
Base folder Print to SharePoint Folder setting
User folder Current user ID
File name Report name + timestamp

Assigning to Users

Default Printer Assignment

You can assign SharePoint as default printer:

  1. Go to Printer Selections
  2. Find or create entry for user/report
  3. Set Printer Name to "SharePoint"

Per-Report Assignment

Assign SharePoint printer for specific reports:

User ID Report ID Printer Name
(blank) 206 SharePoint
JOHN 116 SharePoint

Configuration Examples
