Using Metadata Downstream

Once metadata columns are populated in SharePoint, you can use them for various downstream purposes. This page explains how to leverage metadata in SharePoint.

SharePoint Views

Creating Filtered Views

Use metadata columns to create useful views:

  1. Go to document library in SharePoint
  2. Click Add column or view settings
  3. Select columns to display
  4. Add filters based on metadata
  5. Save the view

Example Views

View Name Filter Use Case
Active Customers Status = "Active" Current customers
2024 Documents Year = 2024 Current year docs
High Value Amount > 10000 Large transactions
Pending Status = "Pending" Items needing action

Creating a View

Step-by-step:

  1. In document library, click All Documents dropdown
  2. Select Create new view
  3. Enter view name
  4. Select columns to show
  5. Add filter conditions
  6. Set sort order
  7. Save

View Examples by Business Process

Customer Documents:

View Filter Shows
All Customers None All customer docs
By Country Country = [selected] Regional docs
Large Customers Revenue > 100000 Enterprise customers

Invoice Documents:

View Filter Shows
Unpaid Status = "Open" Outstanding invoices
This Month PostingDate in [current month] Current invoices
By Customer CustomerNo = [selected] Customer's invoices

Searching by Metadata

Metadata enables rich search:

  1. Go to SharePoint search
  2. Enter search term
  3. Use metadata as filters
  4. Narrow results

Search Query Examples

Search Finds
CustomerNo:C00010 Documents for customer C00010
PostingDate>2024-01-01 Documents from 2024
Amount>5000 High-value documents

Refinement Panel

After searching:

  • Metadata columns appear as refiners
  • Click to filter results
  • Drill down to specific documents

Sorting and Grouping

Sorting by Metadata

In views or file listings:

  • Click column header to sort
  • Sort by amount, date, customer
  • Ascending or descending

Grouping

Group documents by metadata:

  1. Edit view
  2. Under "Group By", select column
  3. Documents group by that value
  4. Expand/collapse groups

Grouping Examples

Group By Result
CustomerName All docs per customer together
PostingDate Docs grouped by date
Status Docs grouped by status

SharePoint Dashboards

Using Metadata in Dashboards

Create dashboards showing metadata:

  • Charts by customer
  • Counts by status
  • Totals by date range

Power BI Integration

Connect Power BI to SharePoint:

  1. Connect to SharePoint list
  2. Include metadata columns
  3. Create visualizations
  4. Build reports

Example Dashboards

Dashboard Shows
Document Volume Count by month
By Customer Docs per customer
Status Overview Pending vs Complete

Compliance and Governance

Retention Policies

Use metadata for retention:

  • Set retention based on document date
  • Different retention for different types
  • Automate compliance

Information Management

Metadata supports:

  • Document classification
  • Compliance labeling
  • Audit requirements
  • Legal holds

Example Policies

Metadata Policy
DocumentType = "Invoice" Retain 7 years
Status = "Draft" Auto-delete after 90 days
Confidential = Yes Apply protection

Workflows and Automation

Power Automate

Use metadata in flows:

  • Trigger on metadata values
  • Route based on customer
  • Notify based on amount

Example Flows

Trigger Action
Amount > 10000 Notify manager
Status changed Send email
New document Apply label

Automation Scenarios

Scenario Metadata Used
Approval routing Document Type, Amount
Email notification Customer, Due Date
Auto-filing Department, Year

Reporting

SharePoint Reports

Generate reports using metadata:

  • Export to Excel
  • Create chart views
  • Build list reports

Export to Excel

  1. Open view with metadata columns
  2. Export to Excel
  3. Use Excel for analysis
  4. Pivot tables, charts

Example Reports

Report Metadata Used
Customer document count CustomerNo
Monthly volume PostingDate
Value analysis Amount

Integration with Other Systems

Microsoft 365

Metadata integrates with:

  • Teams (file tabs)
  • Outlook (shared docs)
  • Planner (file attachments)

External Systems

Via APIs:

  • Query SharePoint for metadata
  • Update external systems
  • Sync with other platforms

Best Practices

Design for Usage

Consider Why
What views needed? Plan columns for filtering
What reports? Include needed data
What searches? Index important columns

Performance

Practice Benefit
Index frequently filtered columns Faster queries
Limit columns per view Better performance
Archive old documents Smaller library

Governance

Practice Benefit
Consistent naming Easier to find
Required metadata Complete data
Regular cleanup Data quality

Limitations

Current Limitations

Limitation Description
Not real-time sync BC changes don't auto-update SP
Manual updates Must re-upload to update metadata
Column limits SharePoint has column limits

Workarounds

Need Solution
Updated metadata Re-upload document
Real-time sync Custom development
Many columns Use content types
