Glossary
This glossary defines key terms used in the SharePoint Connector documentation.
A
Active Mapping
A record that has been linked to a specific SharePoint folder. When a record has an active mapping, the FactBox displays the folder's contents.
Alternative Mapping
Conditional folder routing that directs records to different SharePoint locations based on field values. Also called conditional mapping.
App Registration
An application registered in Microsoft Entra ID (Azure AD) that enables OAuth authentication for the SharePoint Connector.
Auto-Upload
Feature that automatically generates and uploads PDF documents to SharePoint when sales or purchase documents are posted.
B
Base Folder
The document library name in SharePoint where the connector stores documents. Typically Shared Documents (the default) or a custom document library. Do not include a leading slash.
Base URL
The root URL of your SharePoint tenant, ending with sharepoint.com (e.g., https://contoso.sharepoint.com).
C
Callback URL
The redirect URI used in OAuth authentication that returns the user to Business Central after authenticating. Must include page=70319501.
Caption Field
The Business Central field whose value is used to name SharePoint folders for a table mapping.
Caption Specification
An optional second field added to folder names in parentheses to ensure uniqueness (e.g., customer number).
Check-In/Check-Out
SharePoint versioning feature that locks files during editing to prevent simultaneous modifications.
Client ID
The Application (client) ID from a Microsoft Entra app registration, used to identify the application during OAuth.
Client Secret
A secret value created in Microsoft Entra for app registration authentication. Not the same as the secret ID.
Conditional Mapping
See Alternative Mapping.
D
Device Code
An OAuth authentication method that uses a browser-based flow where users enter a code on a separate device to authenticate.
Document Library
A SharePoint container for storing documents. The most common is "Shared Documents."
Document Template
A configuration that defines how to generate reports from Business Central and save them to SharePoint.
E
E-Signing
Electronic signature functionality integrated with Adobe Sign or DocuSign to send documents for digital signatures.
Entra Tenant Id
The Directory (tenant) ID of the Microsoft Entra app registration. Used by Modern App Registration and PKCE as the sign-in authority. For Modern App Registration leave it blank on Business Central Online and fill it in on-premises when Business Central does not use Microsoft Entra authentication. For PKCE leave it blank with the connector's app registration and fill it in when your own app registration is single tenant.
Envelope
In DocuSign terminology, a container for documents sent for signature, including all signers and settings.
F
FactBox
The panel on the right side of Business Central pages that displays related information. The SharePoint FactBox shows files from the associated SharePoint folder.
Folder Mapping
The relationship between a Business Central record and its corresponding SharePoint folder.
I
Incoming Documents
Feature that monitors SharePoint folders or other sources for new files and automatically routes them to the correct SharePoint location based on matching criteria.
Inherited Dynamic
A mapping method where documents (like sales orders) inherit their SharePoint folder from a parent record (like the customer).
M
Mapping Method
The technique used to determine folder structure for a table:
- Static: Creates folders using Caption Field and Caption Specification (Name and Number pattern)
- Dynamic: Creates folders using a reference/document number field
- Only Columns: Metadata only, no folders or FactBox display
- Inherited Dynamic: Inherits folder from a parent record (e.g., Sales Invoice inherits Customer folder)
Metadata Columns
SharePoint columns that store Business Central field values, enabling search and filtering in SharePoint.
Microsoft Entra ID
Microsoft's cloud identity service (formerly Azure Active Directory) used for authentication.
Microsoft Login Method
The setup field that selects the OAuth flow used to sign in to Microsoft with Proxy and Personal authentication: PKCE, Device Code, Modern App Registration or App Registration. See OAuth Method.
Modern App Registration
A Microsoft Login Method that uses your own Microsoft Entra app registration with a client secret and signs in through the standard Business Central OAuth module. Its redirect URL is the Business Central OAuthLanding.htm page, which is the same for all Business Central Online environments.
Multi-Site Mapping
Configuration that routes different tables to different SharePoint sites or subsites.
N
Name Sanitizing
The process of converting special characters in folder names to safe alternatives. Options are Strict or Relaxed.
O
OAuth
Open Authorization protocol used for secure authentication between Business Central and SharePoint/signing services.
OAuth Method
The type of OAuth flow used, shown as Microsoft Login Method on the SharePoint Setup page:
- App Registration: Uses Azure AD registered app
- Device Code: Uses browser-based authentication
- Modern App Registration: Uses Azure AD registered app through the standard Business Central OAuth sign-in
- PKCE: Browser sign-in (authorization code with Proof Key for Code Exchange) without a client secret, with the connector's app registration (Client Id blank) or your own public client app registration. The default for a new setup
OCR
Optical Character Recognition - technology that extracts text from scanned documents for matching and search.
P
Parent Link Field
The field in a child table that contains the reference to the parent record's primary key (e.g., Sell-to Customer No.). Up to three parent link fields can be configured (Parent Link Field 1, 2, and 3) to match multi-field primary keys on the parent table.
Parent Table
In nested mappings, the table that a child table references for folder inheritance (e.g., Customer is the parent for Sales Orders).
Permission Set
A collection of permissions in Business Central that grants access to specific objects. The connector uses "SP Conn. User EFQ."
Personal Authentication
Authentication mode where each user authenticates individually with their own credentials.
PKCE
Proof Key for Code Exchange. A Microsoft Login Method (and the default for a new setup) that signs in through a Microsoft sign-in window as a public client, so no client secret is needed. With a blank Client Id it uses the connector's own app registration; with a Client Id it uses your own app registration, which must be registered under Mobile and desktop applications. Each sign-in sends a SHA-256 challenge of a one-time code verifier, and only Business Central, which holds the verifier, can redeem the returned code.
Proxy Authentication
Authentication mode where a single shared account authenticates for all users.
Public Client
An app registration that signs in without a client secret, such as the app registrations used by PKCE and Device Code. In Microsoft Entra, Allow public client flows must be set to Yes.
R
Registration Code
A license key entered in SharePoint Setup to activate the connector for production use.
Related Documents FactBox
A second FactBox on the General, Sales, Purchase, Payment, and Cash Receipt journals that lists the SharePoint documents stored for the ledger entries the selected journal line is applied to.
Rename Mapped Folder
Action on the Change Mapping page that renames the SharePoint folder a record is mapped to and updates every folder mapping that points to that folder or its subfolders.
Report Selections
Business Central configuration that determines which reports are used for specific purposes (invoices, statements, etc.).
S
SharePoint Online
Microsoft's cloud-based document management platform, part of Microsoft 365.
Site Name
The path to a SharePoint subsite, entered without a leading slash. Valid formats include: sites/BCDocs for a site collection, teams/BCDocs for a Teams site, or simply BCDocs for a subsite directly under the root. Never prefix with /.
Subfolder
A folder within another folder, used to organize documents within a record's main folder.
T
Table Mapping
Configuration that defines which Business Central table should have SharePoint integration and how folders are structured.
Table No.
The numeric identifier of a Business Central table (e.g., 18 for Customer, 23 for Vendor).
Token
A security credential (access token or refresh token) used in OAuth authentication.
V
VerifyAccess
A pattern used in custom development to ensure OAuth tokens remain valid during long-running operations.
W
Welcome Page
A one-time page shown per user from the SharePoint Setup page on installations that have not been registered. It introduces the connector and offers an optional contact form that can be skipped.
