Viewing & Sharing Reports

Generated reports are listed in AI Reports and open full screen in the report viewer. From there you download, print, check how the report was made, share it or delete it.

The AI Reports List

Open AI Reports through search or the app's menu page for all reports. To see the reports of one instruction, use Reports on the instruction list, card or designer, or click the Reports count. The newest reports come first. You see the reports whose permission list gives you access; SUPER users see all reports (see Permissions).

Column Meaning
Title The title the agent gave the report (by default the instruction description and the period). Click it to open the report.
Status Queued, Generating (yellow), Completed (green) or Failed (red). See Statuses.
Instruction Code The instruction the report was generated from.
Period Start, Period End The period the report covers.
Started At, Generated At When the run started and when the agent finished.
Generated By The user who started the run. For scheduled reports, the job queue entry's user. For designed reports, the designer's user.
Tool Calls How many data reads, graphics and writes the agent made.
Error Message Why the run failed, when it did.
Summary The agent's closing note: what the report shows and any data caveats.

Hidden by default, available through Personalize: Entry No., Comparison Start, Comparison End, HTML Size (chars) and Model.

The Report Viewer

The viewer shows the report across the whole page, with the report title as the page caption.

  • A completed report is shown as written.
  • A report still queued or generating shows a status page instead: status, start time, who started it, and a hint to use Refresh.
  • A failed report with a partial page shows the page under a red banner: The AI wrote the page below before the generation failed. Its numbers may be incomplete., followed by the error. A failed report without a page shows the status page with the error.

The report runs in an isolated, sandboxed frame. It cannot reach the Business Central client, your session or its data. Reports are self-contained documents: the agent is not allowed to reference external scripts, stylesheets or fonts, so all styling is inline and charts are inline SVG drawings.

Downloading

Download saves the report as a single .html file:

  • The file is named after the report title, with characters that are not allowed in file names replaced by _, or AIReport-\ when there is no title.
  • It is self-contained: open it in any browser, on any device, without Business Central.
  • Attach it to an email, store it in SharePoint or a document library, or print it to PDF from the browser.
  • A report that has no content yet (still generating, or failed before writing) cannot be downloaded.

A downloaded file is a copy outside Business Central. Permissions and Reports to Keep no longer apply to it.

Printing

Print in the viewer opens the browser's print dialog for the report itself, without the Business Central page around it. Choose a printer, or Save as PDF to produce a PDF. The agent is told to make reports print-friendly, with page breaks before major sections. A layout request in the prompt or house style ("A4 landscape", "each section on a new page") is followed as well.

The Generation Log

Generation Log opens a readable transcript of the run:

  • A header with the report number, status, start time, number of tool calls, and the provider and model.
  • The error, if the run failed.
  • The conversation:
    • the request the agent received,
    • each of the AI's messages,
    • every tool call with its parameters: the SQL statements, financial report names and date filters, spreadsheet slicer values, chart data and edits to the page.

Use the log to:

  • check where a number came from: the exact table, fields and filters,
  • understand a failure: the last steps before the error,
  • improve the prompt: copy the data sources the agent chose into the instruction, so every run uses them.

The data the tools returned is not stored in the log. A report saved from the designer has a one-line log naming who designed it and when.

Sharing

  • Inside Business Central, share through permissions. A report's owner can add users, security groups or Everyone to the report's own permission list, even people who may not use its instruction. See Sharing a single report.
  • Outside Business Central, download the .html file or print it to PDF, and send it on.

The Report Distribution print jobs distribute financial reports; they do not send AI reports.

Deleting Reports

A report can be deleted by:

  • the user who generated it (also when that user only has Read Only access),
  • an owner on the report's permission list,
  • a SUPER user.

Deleting a report also deletes its permission list. Deleting an instruction deletes all its reports. Reports to Keep deletes older reports automatically after each run.
